Job Description

This role sits at the heart of our organisation. Youll be working closely with the Chief Executive, organising Board, Executive and Senior Management Team (SMT) meetings, providing support such as taking minutes, preparing papers and sorting arrangements such as travel. Its a fast-paced organisation and you certainly wont be bored.

This role is one of the most important in representing the organisation externally, and helping to make things run smoothly internally, so were looking for someone who is friendly, positive and can-do.

The Role

This role is all about supporting the Chief Executive, Senior Management Team and the Board of Trustees. 

The main responsibilities are:

Helping the Chief Executive to be as effective as he can by managing his diary and supporting administration

Supporting the Senior Management Team with administration tasks like booking meetings and travel

Making sure the governance of the organisation runs well, by managing the administration of the Board of Trustees such as preparing papers and reports, taking minutes, and overseeing the AGM each year.

Experience

Sound experience in a PA/EA role (or equivalent); ideally were looking for someone with experience of diary management, gatekeeping, responding to and drafting correspondence, booking accommodation and travel.

Wed like you to have experience of supporting Boards or Committees. This would include planning meetings, preparing of agendas and papers, minute taking, etc.

You will need experience of working across teams at all levels and negotiating effective outcomes. 

This means having the confidence to work with some senior external stakeholders to negotiate deadlines, appointment times, etc as well as working across a wide range of other people providing an accessible and friendly point of contact on Tonys behalf.

Skills

You are very organised, adaptable, and able to work to a high standard under pressure.

have the ability to multitask; planning and prioritising tasks with minimal supervision, taking decisions as necessary.

Have excellent written and verbal communications skills with accuracy and attention to detail

Understand the Company Secretary role organisational governance, preferably in a charity environment. We will be able to support you with this, but you will need to be able to learn the key areas of importance

have exceptional relationship-building skills much of this role is about working with others and through others.

are able to work effectively in partnership with multiple internal teams ensuring we all work together towards agreed goals

must be skilled with Microsoft Office working in an Office 365/SharePoint environment. This also includes a variety of databases and cloud-based products.
